Recruitment Privacy Notice

CMM Recruitment Privacy Notice

At CareFlow Medicines Management Ltd (‘CMM’ or ‘we’), we want to ensure that we consider your privacy seriously. We will ensure that the information you submit to us as part of the recruitment process is only used for the purposes set out below. We will only process such data as agreed with you and as provided to you by us or by other sources that we will identify.

This Privacy Notice sets out how your personal data will be processed as controlled by CMM, 1 Aurum Court, Sylvan Way, Basildon, Essex, SS15 6TH.

Data we collect

We only collect your personal data when you apply to us, when you e-mail us your details or as we receive from any agencies, we use for recruitment purposes or to whom you pass your personal data.

Your personal data that we process will include:

  • Full name.
  • Email address.
  • Telephone number.
  • Employment history.
  • Sensitive personal data, including racial, ethnic, sexual, religious and/or disability information.
  • Any other details in your CV.
  • Identification documents.
  • Criminal records checks (if appropriate to role).

How we use your data

We will use your personal data for the following purposes:

  • processing your application;
  • respond to queries from you;
  • equality and diversity monitoring purposes;
  • offering you future positions.

We will only do so either with your consent, where it is in our legitimate business interest to do so, where we have a legal obligation to do so, or where necessary for entering into the performance of a contract with you.

More information about how your data will be used by CMM during recruitment and selection will be provided as part of the recruitment process.

Who we share it with

We may share your personal data with the recruitment agency that you applied with, where applicable. Moreover, in addition to on our systems, if you applied through our jobs website the information that you provide to us may be stored in secure servers which are operated by trusted providers. We oblige all of our partners to sign contracts with us that clearly set out their commitment to safeguarding the security of your personal data, not using it for any purpose other than for the purposes above and ensuring their commitment to assisting us to help you exercise your Individual Rights.

Following your successful application and offer of employment, much of the preliminary data collected together with further details related to your employment and pay will be transferred to our secure database, hosted on servers in the UK. We may also share your data with the System C & Graphnet Care Alliance, our partner company, for limited purposes, including for employee training purposes and for staff recognition purposes in your interests as an employee of CMM and within the performance of your contract and our agreements with the System C & Graphnet Care Alliance. Further details on this will be provided in your Employment Contract.

How long we keep it for

We will keep data you send us in relation to vacancies for the duration of your application and up to six months after in order to offer you new opportunities, unless you opt out of this, or extend this period with your consent. We will ensure that any sensitive personal data that we collect from you is anonymised after this period. We may also hold personal data for longer periods if your application is successful, which will be further detailed in your Employment Contract and other relevant policies.

What your rights are

At any time during the recruitment process, you have the right to:

  • Request a copy of your personal information.
  • Request any inaccuracies in your personal information be corrected.
  • You may also ask to object or restrict the processing of your personal data and have your personal information erased, where appropriate.

In addition, you can also withdraw your consent to us processing your application at any time.
